DentPulse Terms of Service

These Terms govern access to and use of the DentPulse website (“Site”) and services (“Services”). By using the Site or Services, you agree to these Terms. If you do not accept them, you must not use DentPulse.
DentPulse Ltd (“DentPulse”, “we”, “us”, “our”) may amend these Terms from time to time. Updated Terms will be published on our Site and apply from the date of publication. We will notify you of any material changes by email or in-app notification. Continued use of DentPulse after such changes constitutes acceptance.
Breach of these Terms may result in suspension or termination of your account.
Definitions
- Account Holder: The individual who registers for DentPulse on behalf of a practice.
- Client: The dental practice, entity, or organisation that acquires the Services.
- DentPulse / We / Us: DentPulse Ltd (United Kingdom).
- Invited User: Any person authorised by the Account Holder to use the Services (e.g., associates, practice managers, accountants).
- Services: The DentPulse SaaS platform, applications, and related features made available online.
- Site: dentpulse.com and any related subdomains or applications operated by DentPulse.
- You / Your: Refers to all users of the Services, including Clients, Account Holders, and Invited Users.
A. Account Terms
- Each user must have a unique email and password (“login”). Shared logins are not permitted.
- Account Holders may invite additional users, subject to their subscription plan.
- You are responsible for maintaining the confidentiality of your login and for all activity under your account.
- DentPulse is entitled to assume that access using your login is authorised by you.
- You must provide accurate registration details. Verification of your email may be required.
B. Payment, Refunds, Upgrades and Downgrades
- Services are billed in advance on a monthly basis (unless an annual subscription is agreed).
- Fees are non-refundable. No credits are given for partial months, unused time, or downgrades mid-cycle.
- Prices and plans are listed at dentpulse.com/pricing.
- All fees exclude VAT and applicable taxes. Clients are responsible for such taxes.
- Upgrades or downgrades take effect from the next billing cycle.
- Downgrading may reduce features or capacity, and DentPulse is not liable for such reduction.
- Unless cancelled before renewal, subscriptions auto-renew and you authorise DentPulse to charge your stored payment method.
C. Cancellation and Termination
- Clients may cancel at any time via the in-app billing section. Email or phone requests are not valid cancellations.
- Upon cancellation, data is retained for a short period for possible reactivation before being securely deleted, in line with our Privacy Policy.
- Non-payment may result in suspension and later deletion of your account.
- DentPulse may, at its discretion, suspend or terminate accounts for breach of these Terms or misuse of Services.
- Termination includes deactivation and deletion of all associated user accounts and data.
D. Modifications to the Service and Prices
- DentPulse may modify or discontinue any part of the Services with or without notice.
- Prices may change with 30 days’ prior notice, communicated via the Site, email, or in-app.
- DentPulse is not liable for modifications, price changes, or discontinuance.
E. Data Privacy and Sharing
- Clients may connect multiple practices, entities, or associates to their DentPulse account.
- Role-based permissions must be applied to ensure data is not inappropriately shared.
- Benchmarking and comparative tools may allow anonymised insights; identifiable data is only shared where explicitly authorised.
- You agree that DentPulse may collect, use, and process personal data in accordance with the DentPulse Privacy Policy.
F. Marketing
- Unless you notify us otherwise, DentPulse may reference your practice as a client and use your name/logo in promotional material in accordance with your brand guidelines.
- You grant DentPulse a revocable, non-exclusive, royalty-free licence to display your practice name/logo for this purpose.
G. Governing Law
These Terms are governed by and construed in accordance with the laws of England and Wales. Disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
